How to Use This Template
Download and import the CSV
Download the CSV and open it in Excel or Google Sheets. In Excel: File → Open. In Google Sheets: File → Import → Upload. The five columns will populate automatically.
Add it as a data validation dropdown in your expense tracker
In your main expense tracking sheet, select the Category column, go to Data → Data Validation, and set the source to the Category column in this template. This creates a consistent dropdown menu — which is critical for SUMIF and pivot table formulas to work correctly.
See the full expense tracking spreadsheet guide for step-by-step setup instructions.
Get your transactions into the spreadsheet automatically
The fastest way to populate your expense tracker is to convert your PDF credit card statements to Excel automatically, then use this category list to assign and filter. Typing transactions manually is the bottleneck — AI extraction eliminates it.
Auto-populate your expense tracker in seconds
Upload your PDF credit card statement to CreditCardToExcel.com and get every transaction extracted with dates, descriptions, amounts, and categories pre-filled. Then apply this category template to filter and sort by IRS expense type.
Convert a Statement FreeUse the IRS_Schedule column for tax prep
At tax time, filter by Schedule C line number to total each deductible expense category. For example, filter IRS_Schedule = "Schedule C Line 24b" to get your total Meals & Entertainment spend for Line 24b.

Import into QuickBooks or Xero

Frequently Asked Questions
Is this template really free?
Yes. Download it, use it, share it — no signup required, no watermarks, no strings attached. It's a resource for bookkeepers, accountants, and business owners who need a standard category list.
What format is the file?
The download is a CSV (comma-separated values) file. It opens directly in Excel, Google Sheets, LibreOffice Calc, Numbers (Mac), and any accounting software that accepts CSV imports including QuickBooks, Xero, Wave, and FreshBooks.
Are the IRS Schedule C lines up to date?
The template uses the current Schedule C (Form 1040) line numbers as of 2025/2026. The IRS occasionally renumbers lines, so always verify with your CPA or the current year's Schedule C instructions for official use.
Can I add my own categories?
Absolutely. The CSV is fully editable. Add rows for industry-specific categories, remove ones you don't need, or rename subcategories to match your chart of accounts.
How do I use this with my credit card transactions?
The most efficient workflow: (1) Convert your PDF credit card statement to Excel using CreditCardToExcel.com — this extracts all transactions automatically. (2) Add a Category column to the results. (3) Use a VLOOKUP or dropdown referencing this template to assign categories consistently.
Does this work for personal expense tracking too?
Yes. The template includes 40+ personal expense categories (Housing, Food & Dining, Healthcare, Entertainment, Shopping, etc.) in addition to the business categories. Personal categories include a Tax_Deductible flag and relevant Schedule A notes where applicable.
